What You Can Expect

  • Heavy calendar management while scheduling key meetings and events, including room reservations and caterings.
  • Coordinating meetings and calls across all levels of the organization and multiple time zones.
  • Organizing complex domestic and international travel arrangement including passport and visa requirements.
  • Creating and submitting expense reports.
  • Coordinate and maintain staff meeting preparation and notes
  • Provide general administrative support to the Automotive team including assisting with employee onboarding, maintaining contact lists, assisting guests, arranging catering for meetings/events, ordering and maintaining office supplies and creating/executing purchase requisitions and purchase orders.
  • Prepare and edit correspondence, communications, presentations and other documents.
  • Coordinate regular team events and activities to aid in building team camaraderie and morale.
  • Answer and manage incoming calls and requests.
  • Liaison with internal staff at all levels.
  • Assist with special projects for the executive and/or team. Including research, analyze, compile data, and prepare reports.
  • Provides support for departmental events, quarterly events, and recognition as well as coordinating activities across the organization

What We're Looking For

  • 8+ years administrative and business support in an environment with an emphasis on scheduling meetings/events, travel management, and administration work for executive/upper-level management.
  • Bachelor's Degree in relevant field (e.g. business administration, human resources, marketing, communications) preferred not required.
  • Experience working as an executive administrative environment support VPs and above.
  • Work experience in a high-tech company working in the silicon or software space.
  • High level of integrity and ability to handle confidential information with high degree of discretion and sensitivity.
  • Proficient with MS Office, Word, PowerPoint, Excel, and Outlook.
  • Strong communication skills and ability to work effectively with all levels of management and other colleagues.
  • Ability to influence others; handle conflict appropriately, know when to delegate issues upward and when to apply common sense.
  • Demonstrates an ability to anticipate needs and changes, then react with the best interest of the business in mind.

Expected Base Pay Range (USD)

33 - 50, $ per hour.

The successful candidate's starting base pay will be determined based on job-related skills, experience, qualifications, work location and market conditions. The expected base pay range for this role may be modified based on market conditions.
