Event Planning Coordinator

Cooley is seeking an Event Planning Coordinator to join the Marketing and Business Development team.

Position summary: The Event Planning Coordinator will support the events team and wider marketing team with planning, coordination and execution of all client-related, firm-hosted events, seminars, sponsorship opportunities and attorney speaking engagements. This role also includes working within event-related marketing systems, as well as event budgeting and reporting. Specific duties and responsibilities include, but are not limited to, the following:

Position responsibilities:

  • Coordinate, plan and manage all activities related to firm-hosted events. Specific responsibilities include:
  • Work with full events team and other key constituents on event strategy, from pre-event planning to obtaining post-event feedback
  • Identify and negotiate with appropriate off-site venues and vendors regarding all aspects of events, from food and decor to giveaways
  • Work closely with colleagues in other departments (catering, office services, IS, receptionists, etc.) to coordinate on-site event logistics
  • Create and distribute event invitations, event list management, and RSVP tracking and reporting
  • Create and manage event budgets
  • Oversee on-site set-up and attendance
  • Manage virtual events using Zoom
  • Other
  • Prepare post-event analysis and reporting
  • Consistently use the CRM tool to support business development in the firm, including taking ownership of contact information for attorney's contacts and updating, maintaining and resolving conflicts within the CRM tool
  • All other duties as assigned or required

Skills and experience:

Required:

  • Following training, exhibit proficiency in Firm marketing systems software (e.g., CRM tool proficiency)
  • Available to work overtime, as required
  • 2+ years direct-related experience in marketing and/or event planning
  • Experience running virtual events, (e.g., Zoom or other virtual platforms)

Preferred:

  • Bachelor's degree in business, communication, marketing, or related field
  • Experience in a professional services environment, with a working knowledge of professional services industries

  • Self-starter able to work in a demanding, project-based environment
  • Ability to work with limited supervision in a highly collaborative environment
  • Ability to multi-task, problem solve, work well under pressure and coordinate sophisticated marketing programs with good results
  • Ability to consistently meet deadlines
  • Assertive, but flexible as to style; must be able to handle stressful situations and interact with various personalities and communication styles at all levels inside and outside of the Firm
  • Strong analytic and research skills
  • Ability to master the use of complex marketing systems and to train others on these systems
  • Strong ability to function well as a team member and facilitator
  • Exhibit high energy and genuine enthusiasm for law firm marketing activities and goals while maintaining a healthy, competitive spirit
  • Excellent communication skills both written and verbal. Comprehensive, accurate note taking
  • Ability to develop professional relationships with department members, attorneys and firm staff
  • Communicate effectively and efficiently with attorneys and professional staff about event arrangements
  • Reliable, responsive and punctual

The expected hourly pay range for this position is $35.00 - $43.00. Please note that final offer amount will be dependent on geographic location, applicable experience and skillset of the candidate.
