Job DescriptionSummary
The Team Lead of Admissions & Enrollment is a key leadership position within the Enrollment department at Texas State Technical College (TSTC), playing a pivotal role in the mission to place Texans into high-paying jobs. As the Team Lead, you provide strategic leadership, overseeing both internal and external activities aimed at attracting applicants and guiding them through the admissions process and in guiding students from enrollment through graduation, acting as a supportive resource and advocating for their success. This influential role extends beyond direct applicant support, encompassing the mentorship and training of front-line staff to enhance their capabilities. Your collaborative approach with internal departments aims to streamline the applicant experience, student success, job placement, contributing to the overall success of TSTC.
In summary, your role as the Team Lead of Admissions & Enrollment at TSTC is a leadership position that requires a combination of advanced interpersonal skills, regulatory knowledge, technological proficiency, and a strategic approach to enrollment management. Your position is key to attracting applicants, meeting new student enrollment targets, overcoming barriers to enrollment at both the campus and statewide levels. You report directly to the Campus Enrollment Lead under minimal supervision.

Essential Functions & Responsibilities

Leadership and Supervision:

  • Uphold and model TSTC Core Values (Excellence, Accountability, Service, and Integrity) in all interactions with stakeholders, customers, students, and the community.

  • Demonstrate leadership by supervising, coaching, and mentoring front-line staff to enhance their performance and effectiveness.

  • Implements the Culture of Caring by advising a team of advisors on best practices and acting in support of teammates to remove barriers to work.

  • Implements standardization of admissions processes and practices to ensure quality of service, and monitors performance metrics and their effects on enrollment numbers.

Advisory Role (as needed):

  • Assist prospective and new applicants in identifying programs aligning with their career goals.

  • Guide students through the admissions process, ensuring all application requirements are met.

  • Assist students in determining methods of financing including but not limited to assistance with completion of the FAFSA.

Student Enrollment Growth (as needed):

  • Manage a student applicant caseload, providing personalized advisement.

  • Address complex questions, troubleshoot needs related to the admissions process, and effectively guide prospective students.

Student Support (as needed):

  • Manage a student caseload, addressing complex questions and troubleshooting needs related to enrollment, financial aid, and overall student progression.

  • Guide students in determining suitable degree programs and courses aligned with their career goals.

  • Navigate students through the enrollment process, ensuring all requirements are met including but not limited to: the Registrar's Office, Financial Aid Requirement, appropriate course registration, and making payment arrangements.

Collaboration and Outreach:

  • Collaborate with internal departments (Admissions, Veteran Services, Financial Aid, Registrar's Office, Operations, and Student Services) to provide enhanced support to students and monitor progress.

  • Conduct consistent outreach initiatives to ensure student success, fostering partnerships with faculty and other departments as necessary.

  • Collaborates with leadership to create and implement communication plans on policies, procedures, requirements, and events.

  • Plan and oversee enrollment initiatives, regional events, and ambassador programs to increase college visibility and attract a diverse student body.

Enrollment Strategy:

  • Assist in setting new student enrollment goals, monitoring Key Performance Indicators (KPIs), and flexing staff resources to meet enrollment targets.

  • Recognize barriers to enrollment and collaboratively find solutions at both the campus and statewide levels.

Early Alert System:

  • Oversee the effective utilization of TSTC's Early Alert system, identifying at-risk students and devising outreach plans while maintaining detailed notes using advanced advising techniques.


Regulatory Oversight:

  • Stay abreast of FAFSA, FERPA, and relevant federal and state regulations governing student rights and information.

  • Proactively review changes to enrollment management policies and best practices, providing guidance to the team.

Community Engagement:

  • Visit various community locations, including high schools, to attend events, represent, and promote TSTC.

  • Provide information related to TSTC programs and applications.

Technology Leadership:

  • Provide leadership in the utilization of various software programs to review eligibility requirements, track financial aid status, and monitor academic progress.

  • Utilizes online platforms and software to maintain student records, track activity, and generate reports on monthly engagement targets and semester admissions objectives.

Admissions & Enrollment Administrative Duties:

  • Collaborates with the Enrollment team to identify and develop staff training needs. Coordinates training and staff development.

  • Contributes to the development of budgets and strategic plans.

Additional Leadership Responsibilities:

  • Undertake additional leadership responsibilities as assigned, contributing to the continuous improvement of enrollment processes.

Travel Requirements:

  • This position requires travel during working hours, up to 25% of responsibilities.

  • Occasional travel up to 25% of responsibilities that may involve overnight stays.

  • Occasional availability on nights and weekends may be required.

Education & Experience:

  • Bachelor's Degree required. Masters Degree preferred

  • Exceptional internal candidates with 2+ years of higher education experience in a related position at TSTC, who possesses an Associate's Degree, will be considered

  • 3 years' experience in higher education, advisement, counseling, recruiting, or a similar field required.

  • Experience in sales and advising techniques preferred.

Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer.

  • Occasional need to reach, pull, and carry loads up to 15 lbs.
